H.R. POLICY & PROCEDURES

  1. RECRUITMENT

Resumes of candidates are collected through various sources like paper ads, social media, reference of the employees etc. Recruitment files are maintained & review of the files is done from time to time.

  1. SCREENING

As per the requirement of the employees in the different departments, sections & sub-sections the bio data of potential candidates are screened on the bases of skills & experience required as per the requirement of the statutory bodies like UGC etc.

After screening the potential candidates, they are called for personal interview or online interview, in case if it is required written test is taken before the interviews

  1. INTERVIEW COMMITTEE

It is constituted by the HR head depending upon for which department the employee requirement has been received. HR head remains ex officio coordinator of the committee; members are the departmental heads of different departments. HR head seeks the approval of the Management/Registrar to finalize selection, committee, number of employees, their remuneration, experience etc.

At the time of the interview all the documents are verified, necessary proofs are obtained & certain skills like writing skills, etiquettes, grooming, communication, knowledge, experience & creativity are also assessed.

Selected candidates by the interview committee are given offer letter through online or offline mode. The rejected candidates are also given the feedback that they are in the waiting list. It reflects ethical sense & human value by the Institute.

Second interview is conducted by the administration to finalize the salaries & other facilities.

  1. APPOINTMENT LETTER

After the completion of the probation period candidates are issued the appointment letter, all the terms & condition, reporting, performance appraisal system are on the appointment letter.

All the appointment letters are signed after getting the approval of the Management/Registrar. After the confirmation employees are to give 3 months notice in case of leaving the organization but it is at the discretion of the management that in case of indiscipline or bad performance how much time in the form of notice is given to the employees.

PERFORMANCE APPRAISAL

UIHMT works on the principle “Work More Get More & Grow More”. 360 degree appraisal is ensured by the Institute to avoid any sort of discrimination at any level.

360 DEGREE PERFORMANCE APPRAISAL

  1. Candidates to fill up the appraisal form at their own.
  2. Appraisal by the immediate supervisor.
  3. Appraisal by the department head.
  4. Feedback from friends, peer group other employees, family, relatives & references mentioned by the candidate in the resume.

Professional sense employees are well oriented with regard to dress code, professional behavior & follow up of rules & regulations.

EMPLOYEE DEVELOPMENT PROGRAM

As per requirement online/offline development methods are used for e.g.: workshops, seminars, webinars, conferences etc. for necessary motivation financial incentives, awards, appreciation letters are issued time to time with the approval of the management.

The following documents clearly highlight the duties & responsibility of the employees which has been approved by the IQAC coordinator/ Registrar. Employees are to give their presentation on the duties & responsibilities from time to time.

INFRASTRUCTURE CARE & MAINTENANCE

It is taken care of by the care taker appointed for the purpose by the HR Head with the approval of the Registrar/Management.

HOUSEKEEPING & OTHER FACILITIES INSIDE THE PREMISES

Staff is appointed as per the requirement for e.g. peons, sweepers, electrician, cook & other lower staff.

HR Head ensures that all the equipment’s including bulbs & cameras are functional & report is submitted to the Registrar on the format on weekly bases.

SECURITY SYSTEM

Guards are appointed & whatsoever or whosoever is coming inside entry is made on the entry gate, similarly whatsoever or whosoever is going out entry is made at the entry gate. The security staff is given their responsibility chart & demos are conducted from time to time.
